Privacy Policy
AI for Pharma is convened by the team behind PharmaOS, in India. This policy explains what we collect when you use aiforpharma.ai, why, who helps us process it, and the choices you have. We keep it short because we collect little.
Who this covers
This policy applies to aiforpharma.ai (the site) and to the application and community sign-up flows on it. AI for Pharma is operated by the team behind PharmaOS, based in India, who act as the controller of the information described below. References to “we”, “us”, and “our” mean that team.
What we collect
We collect only what we need to review applications and run the consortium.
- Details you give us. When you apply or join the community you provide your name, work email, phone number, company, and designation. If you complete the full application, you also share the commercial function you lead, the AI question on your desk, what you would bring to the room, your edition-timing preference, and optionally a LinkedIn URL.
- Phone verification. When phone verification is enabled, we send a one-time code to your number to confirm it is yours. We store the code only as a short-lived, hashed value, never in plain text.
- Basic technical data. Like most sites, our hosting keeps standard server logs (such as IP address, browser type, and timestamps) to operate and secure the service.
We do not use advertising or analytics cookies, and we do not track you across the web. We set only what is strictly necessary for the site to function.
Why we use it
We use your information to:
- review your application and decide whom to invite;
- contact you about your application, the edition, and the community;
- send you the WhatsApp community link when you ask for it;
- verify your phone number; and
- operate, secure, and improve the site.
We rely on your consent (you submit your details voluntarily) and on our legitimate interest in convening the consortium and keeping the site secure.
Who helps us process it
We use a small number of trusted service providers to run the site. They process your data only on our instructions:
- Supabase hosts our database (in an India region) where your application details are stored.
- Resend delivers our emails to you and notifies our team of a new application.
- MSG91 delivers the SMS verification code, when phone verification is enabled.
- WhatsApp hosts the community group, if you choose to join it from a link we email you.
- Our hosting provider (Railway) runs the site itself.
We do not sell your information, and we do not share it for advertising. We may disclose information if required by law or to protect our rights and the safety of others.
Where your data is processed
We try to keep your data in India, and our database is hosted in an India region. Some of our providers may process limited data outside India. Where that happens, we use reputable providers that offer appropriate safeguards for the information they handle.
How long we keep it
We keep your application details for as long as we need them to run the consortium and to meet any legal obligations, and no longer. Verification codes expire within minutes. You can ask us to delete your information at any time, as set out below.
Your rights
Subject to applicable law, including India’s Digital Personal Data Protection Act, 2023, you can ask us to:
- tell you what information we hold about you and give you access to it;
- correct or update inaccurate information;
- delete your information;
- withdraw a consent you gave us; and
- raise a grievance about how we handle your data.
To exercise any of these, email room@aiforpharma.ai. We will respond within a reasonable time.
How we protect it
We take reasonable technical and organisational measures to protect your information, including access controls on our database and short-lived, hashed verification codes. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security, but we work to keep your data safe.
Children
The site is intended for working professionals and is not directed at anyone under 18. We do not knowingly collect information from children.
Changes to this policy
We may update this policy as the consortium develops or as the law requires. When we do, we will change the “last updated” date above, and for material changes we will take reasonable steps to let affected applicants know.
